Privacy Policy

Your privacy and your patients' privacy matter deeply to us. Patient photos processed through SmilePro are never used to train, fine-tune, or improve any AI model—by us or by any third-party provider we work with.

1. Who We Are

SmilePro ("we", "us", "our") is a dental visualization and patient communication software operated by Global Technology. It helps licensed dental professionals generate AI-powered smile previews and optional presentation materials they configure themselves. Our service is available at smilepro.app.

2. Information We Collect

Account Information

  • Name, email address, and password (hashed and never stored in plain text)
  • Clinic or practice name
  • Profile preferences and language settings

Patient Photo Data

  • Frontal photos of patients uploaded by authorized dental professionals for smile visualization
  • Photos are transmitted over encrypted connections (TLS 1.2+)
  • Uploaded patient photos are processed temporarily to generate the requested visualization. If the dental professional chooses to save a case, the resulting case and associated images may be stored securely in the customer’s account until deleted by the customer or their organization
  • Photos are never shared, sold, or used to train AI models

Usage & Technical Data

  • IP address, browser type, and device information
  • Pages visited, features used, and time spent on the platform
  • Error logs to diagnose and fix issues

Payment Data

  • Payment transactions are processed by Polar. We do not store credit card numbers or full payment details on our servers.
  • We retain transaction IDs and purchase history for billing and legal compliance.

3. AI Processing & Patient Photos

This is our core commitment: Patient images uploaded to SmilePro are processed solely to generate the requested smile visualization. They are not stored beyond the session unless you explicitly save a case, and they are never used to train, improve, or fine-tune any AI system—including the AI models we license from third-party providers. Our contracts with AI providers explicitly prohibit use of customer data for model training.

Specifically:

  • Photos are transmitted to our AI processing pipeline over encrypted channels.
  • The AI provider receives only the image data necessary to generate the visualization.
  • Results are returned to you. Providers process images only as needed to complete the request.
  • If you save a case, the resulting case and associated images are stored in your account and are accessible only to authorized users of your clinic.

4. AI Processing Providers

SmilePro uses third-party AI infrastructure providers solely to process images submitted by authorized dental professionals. These providers process images only as necessary to provide the requested visualization and are contractually prohibited from using customer data to train their AI models.

The providers we currently use for image generation are:

  • fal.ai — image-generation infrastructure
  • Replicate — image-generation infrastructure

We may change providers that offer equivalent processing under the same training-prohibition terms. We also use cloud infrastructure for encrypted storage and compute, Polar for payments, and an email provider for transactional mail.

5. How We Use Your Information

  • To provide the service – processing photos, generating smile visualizations, and creating presentation PDFs the professional configures.
  • To manage your account – authentication, billing, and support.
  • To improve SmilePro – we analyze aggregated, anonymized usage patterns (never patient photos) to improve the platform.
  • To communicate with you – product updates, billing receipts, and support responses.
  • Legal compliance – maintaining records required by applicable law.

6. Cookies & Tracking

We use cookies to:

  • Essential cookies – keep you logged in and remember your preferences (language, settings).
  • Analytics cookies – understand how users interact with SmilePro using anonymized, aggregated data. No patient data is included.

You can manage your cookie preferences at any time via the cookie banner or your browser settings. Disabling analytics cookies does not affect the core functionality of the platform.

7. Data Sharing & Third Parties

We do not sell your data. We share information only with the following categories of providers, and only as necessary to operate the service:

  • AI processing providers (see section 4) – under data processing terms that prohibit use of data for training.
  • Cloud infrastructure – encrypted storage and compute services.
  • Payment processor (Polar) – for secure transaction processing.
  • Email service provider – for transactional and support emails.

We may disclose information if required by law, court order, or to protect the rights and safety of our users.

8. Data Retention

  • Account data – retained while your account is active and for up to 90 days after deletion.
  • Uploaded photos that are not saved as a case – processed temporarily and deleted from our servers within 24 hours of the session.
  • Saved cases and associated images – retained until you delete them or close your account (or your organization deletes them).
  • Payment records – retained for 7 years for tax and legal compliance.

9. Data Security

  • All data is transmitted using TLS 1.2+ encryption.
  • Data at rest is encrypted using AES-256.
  • Access to production systems is restricted to authorized personnel only.
  • We perform regular security reviews and vulnerability assessments.

10. Your Rights (CCPA & US Privacy Laws)

If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA):

  • Right to Know – request a copy of the personal information we hold about you.
  • Right to Delete – request deletion of your personal information.
  • Right to Opt-Out – we do not sell personal information, so there is nothing to opt out of.
  • Right to Non-Discrimination – exercising your rights will not affect your access to our service.

11. Children's Privacy

SmilePro is a professional tool for licensed dental practitioners and is not directed at individuals under 18. We do not knowingly collect personal information from minors. Customers must have a lawful basis before uploading any image of a minor.

12. Changes to This Policy

We may update this policy periodically. When we make material changes, we will notify you via email or a prominent notice on the platform at least 30 days before the change takes effect.
